How to access the information we hold about you

You can submit a request to receive a copy of your personal data by one of the below methods 
•    Online – using the Subject Access Request (SAR) form 
•    By phone – you can call our Contact Centre on 0300 123 3456 who will record your request over the phone
•    By post – by writing to Data Protection Team, Peabody, Pembroke House, 11 Northlands Pavement, Pitsea, Essex, SS13 3DU
•    In person - You can visit your local office to make your request in person. Please take copies of the documents of your identification. One of our staff will help you to complete the form

Making a request

Please provide as much details as possible of the personal data you are requesting when submitting your subject access request.  This helps us to locate your data and respond to your request as soon as possible.

Proof of ID

To ensure we are providing personal data to the right person, please can you provide two forms of identification, such as a passport or driving license along with a utility bill dated in the last three months. You can email your ID to us or visit one of our offices and we can take a photocopy for you.

 
The Data Protection legislation provides individuals with the right to have access to their own personal data. If you are requesting access to someone else’s personal data, please provide proof that you are entitled to the information. You can do this by sending us a signed letter of authority from the individual concerned. 

Receiving your information

The statutory deadline for responding to a subject access request is one calendar month. The time limit starts once we have received your request and satisfied our ID checks.

We can extend the time limit to respond to a request by a further two months if we can demonstrate the request is particularly complex or we have received a number of requests from the individual. This will only apply to exceptional cases and we will notify you if we apply an extension. 

You are entitled to receive your personal data only, therefore we may withhold some information from your subject access request if it relates to a third party. We will do this by applying an exemption and we will explain to you in our response the reason for applying this.

Internal review

If you are dissatisfied with our response to your subject access request, you can ask for it to be independently reviewed by the Group Data Protection Officer.
